Overview of Employee ID Badges with SafetyPlusWeb™

 Employee ID Badges with SafetyPlusWeb™ 

SafetyPlus, Inc. and SafetyPlusWeb™ customers are able to print Employee Badges in a variety of formats. These badges can be used for employee identification, as proof of training, or even to scan in and out of a location when used in conjunction with SafetyPlusWeb™ SiteTracker software. This document reviews the value, types, and processes of printing Employee Badges through SafetyPlusWeb™ and can be distributed to any main Admin users of SafetyPlusWeb as well as any employees who will be responsible for printing Employee Badges.

 

THE VALUE

Employee Badges take the incredible amount of data tracked in your SafetyPlusWeb™ profile and condense it into simple, actionable information on the jobsite. Quickly answer questions, including:

·        “Should this employee be permitted on this jobsite?”

·        “Is this employee qualified to operate this specific equipment?”

·        “When did this employee last take training on this hazardous operation?”

All ID Badges include an employee-unique QR Code. This code can be scanned using the camera of an updated Apple® device or by downloading a free QR code reader app on other mobile devices.

THE QR REPORT

 

When scanned from any smart device, the QR Code generates a live report that contains basic employee details, training history, and Classification/Qualification Status. This information is always up-to-date and allows administrators, supervisors, foremen, etc to determine if an employee is trained and/or qualified to perform specific, hazardous tasks on the jobsite.

 

 

 

 

THE OPTIONS

  1. Employee ID Badge
    • This basic option includes an employee photo, name, company name, barcode, space for a few employee specifics, and a QR code for scanning on the back
  2. Employee ID Badge + Qualifications
    • This option allows you to include critical Classifications & Qualification statuses along with their expiration dates printed on the back
  3. Employee ID Badge + Training
    • This option allows you to include critical Training Course statuses along with their expiration dates printed on the back
  4. Hardhat Sticker
    • This option skips the traditional badge and employee photo but includes a QR code sticker, company logo and barcode that can be placed on Hardhats, an article of clothing, or any other daily use item for scanning on the jobsite

PRINTER OPTIONS & SUGGESTIONS

Employee ID Badges can be printed on regular paper, cut, and laminated for use on the jobsite. If you would like to print a more official, plastic ID badge, we recommend the  Zebra ZC300 ID Card Printer (Dual-Sided) or Zebra ZC350 ID Card Printer (Dual Sided) printers. For printing the Hardhat Sticker, use Avery Template 60506 and any laser printer.

 

 

PREPARING SAFETYPLUSWEB FOR PRINTING EMPLOYEE BADGES

Double check that the ID cards button is active for your user by going to Home > Employees (default) > Select an employee’s name > look at the left portion of the screen on the bottom. There should be a button that says “Print ID.” If this button does not appear, contact the SafetyPlusWeb Support Team through the Gear icon in the top right and selecting “Ask an Expert.”

 

Certain information available for printing on Employee ID Badges can be turned on/off in your system. Configure these custom fields by following these steps:

  • Basics
    • Admin > Company > Manage
      • Upload the Company Logo that will appear on the sticker (click “Change Logo”)
        • Company logo must be 100x300 pixels. If you need help formatting this, please contact the SafetyPlusWeb Support Team
      • Show expire date on Basic ID cards (Select for Yes or No)
      • Show hire date on Basic ID cards (Select for Yes or No)
    • Specifics: If you would like to include specific information on ID badges including if an employee is English-speaking, is a driver, a non-reader, or other, you can do that in the Admin section.
      • Admin > Company > Employee > Select Employee’s Name > ID Card
        • Items to be notes on the Basic ID Card
          • Driver status
          • Non-English Speaking
          • Non-Reader
          • Special Item (Up to 6 characters)
          • Card Expire Date
        • Training: For specific training courses to be available for printing on the Employee Badge + Training Cards, the course within SafetyPlusWeb must be marked “Available for Print” in the Admin > Course section
          • Admin > Courses > Manage> Select the Name of the Course you whish to appear on a Training Card
            • Check the box next to “Available for Print”
            • Enter the Course Name as you would like it to appear on the card. Due to size constraints, the name can only be 20 characters long.

 

 

UPDATING THE EMPLOYEE SCAN CODE

If an employee should lose their ID Card/sticker, you may want to “inactivate” that old card to prevent the finder from impersonating someone else and gaining access to an area where they should not be.

  1. When logged in as a full admin to SafetyPlusWeb, proceed to the Admin tab, go to Company on the left slide menu and select Employees.
  2. Select the name of the employee who needs a new number.
  3. Choose the “ID Card” tab
  4. Scroll down to the “ID Card#”
  5. Click the “Refresh” arrow to generate a new ID for that employee.
  6. The number should automatically update and a green “Success” box should show in the bottom right corner.

 

 

PRINTING BASIC EMPLOYEE BADGES

  1. Within SafetyPlusWeb, go to the Home tab. By default, the Employee Roster should appear.
  2. Select any employee’s name
  3. From the left side panel, choose Print ID Card
  4. Select the specific employee(s) who need cards
  5. Print
  6. A preview of each employee’s ID Card should appear. After reviewing the preview
    1. Click edit on the card to make changes. This will re-direct you to the Employee’s detailed information.
    2. Click Print
  7. Ensure printer settings are correct and select “Print” again

 

 

PRINTING EMPLOYEE BADGE + QUALIFICATION CARDS

  1. Within SafetyPlusWeb, proceed to the Admin tab, go to Company on the left slide menu and select Employees.
  2. Select the name of the employee who needs a card
  3. Choose the “ID Card” tab
  4. Scroll toward the bottom and review the list of Qualifications. If a qualification does not appear, then the employee has not completed all requirements of the training. You can find training needed from the Home tab.
  5. When ready to print, select “Print Qualification Card”
  6. By default, all qualifications that the employee has completed will be selected. If you wish to remove any from the card, click that item. The white border from the cell should disappear.
  7. Click “Print” in the bottom right.
  8. A preview of each employee’s ID Card should appear. After reviewing the preview, click “Cancel” to make changes to the card or click “Print” to move forward.
  9. Ensure printer settings are correct and select “Print” again

 

 

PRINTING EMPLOYEE BADGE + TRAINING CARDS

  1. Within SafetyPlusWeb, proceed to the Admin tab, go to Company on the left slide menu and select Employees.
  2. Select the name of the employee who needs a card
  3. Choose the “ID Card” tab
  4. Scroll toward the bottom and select “Print Training Card”
  5. Only courses that have been set-up for printing and completed by that employee (but has not expired) will display on the next page. Select any course you wish to print and a white border should appear around the cell.
    1. A maximum of 12 courses can be selected to print on one card.
  6. Click “Print” in the bottom right.
  7. A Preview of each employee’s ID Card should appear. After reviewing the preview, click “Cancel” to make changes to the card or click “Print” to move forward.
  8. Ensure printer settings are correct and select “Print” again

 

 

PRINTING HARDHAT STICKERS

  1. Within SafetyPlusWeb, proceed to the Home tab. By default, the Employee Roster should appear.
  2. Select any employee’s name
  3. From the left side panel, choose Print ID Card
  4. Select the specific employee(s) who need labels
  5. Print
  6. In the top right corner, choose “Print Label”
  7. You will be asked how many stickers spots you would like to skip. This allows you to re-use the same page of stickers for multiple rounds of printing. For example, if you print 4 stickers on a page during the first use, the second time you go to print on that same page, enter “4” stickers to skip and the system will arrange to avoid those empty spots.
  8. A Preview of each employee’s ID label will show underneath. After reviewing the preview
    1. Click edit on the label to make changes. This will re-direct you to the Employee’s detailed information.
    2. Click Print
  9. Ensure printer settings are correct and select “Print” again
